Open Bid Invitation [Organising an Event to Celebrate 140 years of Korea-UK relations]

1.      Description: The bidding intends to recruit a catering and event management company to whom will be delegated the necessary work to organise an event to celebrate 140 years of Korea-UK relations for enhancing cooperation between Korea and the UK.

-         Project (tentative): Holding an in-house concert and evening reception in a historic venue located in the Royal Borough of Kingston upon Thames, with around 270 guests in total.

-         Implementing Agency: The Embassy of the Republic of Korea in the United Kingdom of Great Britain and Northern Ireland (hereinafter referred to as the Embassy)

※      This bid is an open bid invitation conducted through negotiation in accordance with Article 43 of the *Enforcement Decree of the Act on Contracts to Which the State Is a Party of the Republic of Korea.

2.      Qualification

-         Catering and event management company based in the UK that meets basic eligibility for participation in the bid (refer to *Decree Article 12) and that successfully follows the procedures set out below.

-         Company that has access to the major historic venues (including Hampton Court) to hold events, accredited by Historic Royal Palaces.

-         Company that can present and serve a Korean influenced menu and is experienced in catering, stage set-up, etc.

3.      Registration Due: Sunday, 7 Aug 2023 by 11:59 p.m. (BST)

4.      Bidding Result: To be informed individually after Monday, 6 Aug 2023, via email or call

5.      Bidding Decisions: We take the open competitive bidding method, where each proposals will be evaluated under the criteria shown below.

6.      Expected Investment Range: Approximately 53,000 GBP (Including the venue hire and VAT)

7.      Contract Schedule:

-         Contract Signing: Within three days from the result announcement

※      If the successful bidder does NOT wish to continue the contract, it is required that the bid deposit (5% of EIR, waived at registration) be paid to the Embassy (*Decree Article 37, 38).

-         Start and End Date of the Project (expected): day of the bidding result announcement ~ November 30th 2023

8.      Bidding Invalidation:

-         Applicants that do not meet the stated qualifications are not considered for this Project.

-         Applications with insufficient, forged and counterfeit documents are not considered.

9.      Others:

-         Upon signing the contract, the successful bid winner, henceforth “Contractor”, should pay a contract deposit, 10% in check of the total amount for contract affirmation. The Korean Embassy retains the entire deposit if the Contractor initiates cancellation of the contract.

-         The contractor should sign the Standard Contract of the Korean Embassy and the Confidentiality Agreement.

-         Any difference of interpretation on this open bid notice would follow the interpretation of the Embassy.

10.  Applicable Law:

-  This bidding will be processed in accordance with the Korean Act Enforcement Decree and Enforcement Rule as below.
